Sale Reports

When you run a sale, you will have access to sales-specific reports. You can assess the “View Sold Items” reports by clicking the icon in your management menu shown below.

This article will share the purpose and practical use of this report and what information it contains.

View Sold Items

Export

When you click “Export”, the report generated allows you to access information about items purchased in your sale. The information contained in this report includes:

  • Purchaser name
  • Purchaser contact information
  • Item purchased
  • Quantity of item purchased
  • Date purchased


Many organizations use this report to view a simple breakdown of items sold. This is particularly useful for mix-and-match experiences where some transactions include multiple component types. This list ensures that delivery and fulfillment of purchased sale items are as simple as possible and easily answers the question, “How much money did the sale component of my mix-and-match experience raise?”

When viewing this report, organizers will notice that the table will show one row per one unique item purchased in a transaction. A “unique item” is considered unique in both the actual item and the item variation selected by the donor. (Ex. – a t-shirt would be the item, and size or color would be variations)

If one transaction contained two different items where the variations selected were also different, then the table will show two rows.

If the transaction contained 2 of the same item where the variations selected are the same, then the table will show one row with the quantity column showing “2.”

Export Order Summary

The Export Order Summary is a report that sums up the quantity sold for each specific item variant. The information contained in this report includes:

  • Item
  • Variations of the item
  • Total quantity sold on the fundraiser

Many organizations use this report to answer the question, “How many items XYZ did I sell?” For example, if an organization held a t-shirt sale fundraiser, they may wonder how many of each color and size t-shirts they sold. The “Export Order Summary” report will show the information they need to determine how many of each shirt size and color to print so they can fulfill their orders. An example of this report is shown below. 

In addition to the reports shown above, organizations can view and export a list of donations and donor information under the View Donations tab.
